Terms of Service
Effective September 15, 2026
1. Who you're contracting with
WireHQ is operated by Heron Networks LLC ("we", "us"). "You" means the contracting business that signs up — the shop — and anyone you give a login to. By creating an account you agree to these Terms and to the Privacy Policy, which is part of this agreement.
You must be authorised to bind your business, and you must be using WireHQ for business purposes. WireHQ is not a consumer product.
2. The service
WireHQ is job management for electrical contractors: jobs and scheduling, estimates and change orders, a price book, truck stock and material pulls, purchase orders, time entries (straight, overtime, double), permits and inspections, invoices, job photos, a tokenised customer portal, and a one-way sync into QuickBooks Online. We add and change features; we will not remove one you depend on without notice in the app.
We grant you a non-exclusive, non-transferable right to use WireHQ for your own business while your subscription is current. You may not resell it, white-label it, or use it to operate a competing product.
3. Price, billing and cancellation
- $199 per month — or $1,990 per year, two months free — flat, for the whole shop — every user, every job, no per-seat charge and no usage tier.
- Your first month is free, and no card is required to start. Billing begins after that first month.
- Month to month. No contract and no minimum term. Cancel at any time from Settings → Billing — it is a button, and it takes effect the moment you press it: nothing is queued for a person to action. You keep full access until the end of the period you have already paid for, and you are not charged again. We do not lock a shop into an annual commitment, and there is no cancellation fee. You can still email support if you would rather we did it for you.
- Cancellation takes effect at the end of the month you have paid for. We do not pro-rate a partial month on a voluntary cancellation. If we cause the problem — an outage that makes WireHQ unusable for a material part of the month, or a billing error — email us and we will refund it.
- You can export everything, in one click, at any time — including after you cancel. We will keep your data exportable for 30 days after cancellation, then delete it.
- Price changes apply from your next billing month and we will tell you at least 30 days ahead. Cancelling before that date means you never pay the new price.
4. Customer payments (your customers paying you)
Invoices you send can carry a payment link. Your customer pays by card or bank transfer through Stripe, and the funds go to you — we are not a party to that payment and we never hold your money. Processing is 2.7% + $0.30 per transaction, charged by the processor out of the payment, separately from your $199/month subscription.
You are responsible for what you invoice, for whether the work was done, and for any dispute or chargeback your customer raises. We will provide the records we hold to help you answer one.
5. Your data is yours
Every job, customer, estimate, photo, time entry and invoice you put into WireHQ belongs to you. We claim no ownership of it. We use it only to run the service for you, as described in the Privacy Policy. We do not sell it and we do not use one shop's job costing to advise another.
You are responsible for having the right to enter the personal information you put in — your employees' names, wage rates and clock times, and your customers' names, addresses and phone numbers. You are the controller of that information and we process it on your instructions.
6. Accounts and acceptable use
- Keep your passwords to yourself; you are responsible for what your logins do.
- The customer portal and estimate-approval links are unguessable tokens, not passwords. Treat a portal link as you would a document you emailed: anyone holding it can see that job.
- Don't attack the service, scrape it automatically, probe another shop's data, or try to defeat the per-company separation.
- Don't upload malware, or content you have no right to upload.
Found a vulnerability? Email [email protected]. We will not pursue good-faith research that leaves other shops' data alone and gives us a chance to fix the issue first.
7. Third parties we depend on
Hosting, database and file storage run on Cloudflare; payments on Stripe; transactional and daily-report email on Resend; accounting sync on QuickBooks Online (Intuit) if you connect it. Their terms govern their own services, and a failure at one of them can interrupt ours.
8. What WireHQ is not
WireHQ reports numbers you and your crew enter. It is not an accountant, not a payroll system, not a tax filing, and not a code-compliance or permitting authority. A P&L figure, a permit status, an inspection date or a labor total in WireHQ is a record of what was entered, not professional advice and not a legal certification. You remain responsible for your bids, your billing, your payroll, your permits and your inspections.
9. Availability and disclaimers
We do not promise uptime. Except where the law says otherwise, WireHQ is provided "as is", without warranty of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
10. Limitation of liability
To the maximum extent the law allows, we are not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost bids, lost data, or an under-bid job. Our total liability for any claim is limited to the fees you paid us in the twelve months before the claim. These limits do not apply to our fraud, wilful misconduct, or death or personal injury caused by our negligence.
11. Suspension and termination
You can cancel at any time (section 3). We may suspend an account for non-payment after written notice, or immediately for an attack on the service. If we terminate you for a reason that is not your breach, we refund the unused part of the month. On any termination you keep the 30-day export window in section 3.
12. Governing law and disputes
13. Changes
If we materially change these Terms we will update this page, move the effective date, and email account owners at least 30 days before the change takes effect for an existing subscription.
